Privacy Policy
How Northpoint Design Co. collects, uses, shares and protects information submitted through this website, and the choices you have.
Northpoint Design Co. (“we”, “us”, “our”) is a sole proprietorship based in Ancaster, Ontario that provides building design and permit drawing services in Ontario. This policy explains what personal information we collect through this website and in the course of preparing a quote or providing services, how we use and share it, how long we keep it, and the choices and rights you have. It applies to visitors to this site and to prospective and current clients.
Scope of this policy
This policy covers information collected through northpointdesign.ca and through direct correspondence (email, phone, in-person meetings) once you contact us. It does not cover the practices of other sites you reach through links on this one, or of the municipal building departments and third-party professionals your project may be shared with as described below. Each has its own privacy practices.
We aim to handle personal information consistently with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Ontario’s applicable privacy rules for a small business.
Information we collect
We collect information in three ways:
- What you give us directly. When you submit a contact or quote request form, book a call, or email or call us: your name, email address, phone number, property address, and any project details, photos or documents you choose to share.
- What we collect if you become a client. Property and survey details, existing drawings, municipal correspondence, and other records needed to prepare permit drawings and submit an application on your behalf.
- What’s collected automatically. Basic technical information (browser type, device type, pages visited, approximate location from IP address) through the analytics described in Cookies and analytics below.
We do not collect payment card information through this site. Invoicing and payment for project work happen outside the website, through the channel agreed with you.
How we use it
We use the information you provide to:
- Respond to your inquiry and prepare a quote or consultation
- Communicate with you about a project you’ve asked us to work on
- Prepare permit drawings and supporting documents for your property
- Keep records required for invoicing, and for building design and permit work
- Meet our legal, insurance and building design record-keeping obligations
- Understand and improve how this website is used, in aggregate
We do not use your information for automated decision-making, and we do not sell or rent it to third parties.
Why we’re allowed to use it
We collect and use personal information based on your consent (for example, submitting a form), because it’s necessary to provide services you’ve asked for (preparing and submitting a permit application), and because we have a legitimate business interest in operating and improving this website and our client records. You can withdraw consent for anything not required to complete work already in progress. See Your choices and rights.
Who we share it with
We share project information only where it’s needed to do the work you’ve asked for, or to run this site:
- Municipal building departments. Property, drawing and application details, as required to submit and process a permit.
- Other licensed professionals. For example, an outside licensed professional, where structural or mechanical work outside our BCIN scope needs to be coordinated on your project.
- Service providers. The companies that host this website, run its contact and quote forms, provide email and calendar booking, and provide analytics. These providers only process information on our instructions and only as needed to provide their service to us. Some of them may store or process information outside Canada.
- Legal or safety reasons. If required by law, court order, or to protect the rights, property or safety of Northpoint Design Co., our clients or others.
We do not share your information with anyone for their own marketing purposes.
How long we keep it
Inquiry and quote-form information for a project that doesn’t proceed is generally kept for a limited period in case you follow up, then deleted or anonymized. For projects we’re engaged on, we keep drawings, correspondence and related records for as long as reasonably needed to support the completed work, including for insurance, warranty and building code record-keeping purposes, even after the project is finished.
How we protect it
We use reasonable administrative and technical safeguards appropriate to a small design practice: for example, access limited to people who need it, and reputable third-party providers for hosting, email and forms. No method of transmission or storage over the internet is completely secure, so we can’t guarantee absolute security, but we work to protect your information against loss, misuse and unauthorized access.
Cookies and analytics
This site uses essential cookies needed for it to function, and Google Analytics to understand which pages are useful and how visitors find the site. Google Analytics sets cookies and collects information such as the pages you visit, how you arrived, your device and browser, and your approximate location. We use it in aggregate and it does not identify you personally on its own. You can opt out with Google’s browser add-on at tools.google.com/dlpage/gaoptout. This site does not run third-party advertising or retargeting cookies. You can block or delete cookies in your browser settings; doing so shouldn’t affect your ability to browse the site, though some form features may not work as expected.
Children’s privacy
This site and our services are directed at property owners and investors, not children. We don’t knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we’ll delete it.
Your choices and rights
You can ask us, at any time, using the details below, to:
- Tell you what personal information we hold about you
- Correct information that’s inaccurate or out of date
- Delete information we no longer need to keep
- Withdraw consent to any use that isn’t required to finish work already agreed
We’ll respond within a reasonable time. Some requests may be limited where we have a legal or contractual obligation to keep records, for example drawings and correspondence tied to a completed permit.
Changes to this policy
We may update this policy as the business, the site or applicable law changes. The version posted here is the current one. Material changes affecting how we handle information you’ve already given us will be communicated to affected clients directly where practical.
